Position Description:
The Controls Manager is responsible for performing the collection, analysis, reconciliation and reporting of financial and non-financial data for the Americas Regional & Branch Offices group, with heavy focus on facilities management in the retail offices.


Primary Responsibilities
•Manage the creation, tracking, analysis and reconciliation of operational budgets and expenditures for the department, including monthly reconciliation reporting and quarterly forecasting
•Review and qualify vendor invoicing, and coordinate reviews/approvals by other department managers
•Monitor vendor reporting accuracy, including routine audits of data inputs as well and outputs
•Create a holistic reporting schedule for the department and manage compliance with vendors and peers
•Manage the collection of data from multiple sources, including vendors, peers/managers within the department, and other department's systems and personnel (ex. accounting, real estate, sourcing, project management, etc.)
•Recommend process or systems improvements to enhance data collection and reporting towards short term and long term goals
•Obtain and utilize benchmarking data and conduct quantitative analyses for services performed for and by the department
•Perform trend analyses and report on vendor operational performance and costs
•Make recommendations for process, vendor, or other changes to correct unfavorable trends and capitalize on opportunities
•Document the expenditures associated with major incidents (examples hurricanes, floods)
•Manage the inventory of critical infrastructure assets data, including warranty information, maintenance logs and as built documentation
•Generate life cycle cost analyses for critical infrastructure equipment to support replacement versus repair recommendations
•Analyze and reconcile vendor KPI reporting against agreed SLA requirements
•Recommend changes to vendor reporting and refinements to KPI's for improved measurement of vendor performance
•Generate and report consolidated departmental quarterly and annual prospectus information




Skills Required:
Level of education: College degree preferred
Experience: Minimum of 7 years experience in Facilities Management or closely related field, and 5 years in budgeting and detailed reporting
Computer Literacy: Microsoft suite of products knowledge is required, especially intermediate to advanced level Excel skills
Additional skill sets: Strong analytical skills. Ability to work independently. Proactive approach to tasks. Ability to interact with all levels of management. Strong verbal and written presentation skills.
