Our client, a small trust services provider, with familial working environment, is currently looking to recruit a Corporate Secretary for their Luxembourg operations.

YOUR ROLE

The successful candidate will be in charge of the day to day administrative life of a client company portfolio and will be taking care of:

  • Facilitating and assisting with the incorporation process in relation to new client entities being established in Luxembourg.
  • Daily follow-up of client request (by mail, email, phone).
  • Answering to the client entities as required including drafting agenda and meeting notices, preparation of boards of meeting, attendance at Board and manager meetings and drafting of minutes.
  • Liaising with clients about payment of expenses and other costs and arranging instructions to bankers to effect payments.
  • Inputting and updating of company statutory records for entities under administration (increase/decrease of capital, taking of participation), including producing annual returns and making any other necessary statutory filings as required (Balance Sheet, Tax return, VAT).
  • Liaising with notaries and banks.
  • Performing ad hoc duties or projects as requested.

YOUR PROFILE

  • Minimum of 3 years of experience in a similar position or from a notary office or from private banking.
  • Strong knowledge of Luxembourg law and tax.
  • Compliance knowledge would be an asset.
  • Team management experience required.
  • Fluency in Dutch, English and French.
  • Pro-active, flexible, and able to work within deadlines.
  • Strong communication skills and ability to work as part of a team.
  • Autonomous, conscientious, rigorous.
